Clinvo Terms of Service

1. Agreement to Terms
These Terms of Service ("Terms") govern your access to and use of Clinvo, a dental clinic management platform operated by Clinvo LLC ("Clinvo," "we," "our," or "us"), based in Amman, Jordan.
By accessing clinvo.co, using clinvo.app, or requesting access to the Clinvo platform, you agree to be bound by these Terms. If you do not agree to these Terms, do not use Clinvo.
These Terms apply to all users of Clinvo including clinic owners, administrators, doctors, staff members, and patients.
2. Description of Service
Clinvo is a Software-as-a-Service (SaaS) platform that provides dental clinics with tools to manage appointments, patient records, clinical notes, billing, team management, and patient communication. The platform is available through clinvo.app.
Clinvo also operates a public marketing website at clinvo.co, including a clinic directory where clinics may optionally list their practice.
3. Eligibility and Account Registration
3.1 Eligibility
To use Clinvo as a clinic owner, you must:
- Be at least 18 years of age
- Be a licensed dental professional or authorized clinic operator in Jordan
- Have the legal authority to enter into these Terms on behalf of your clinic
- Provide accurate and complete information during registration
3.2 Invite-only access
Clinvo uses an invite-only registration system. Clinic owners must submit an access request through clinvo.co and receive an invitation from the Clinvo team before they can create an account. We reserve the right to accept or decline any access request at our sole discretion.
3.3 Account security
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must notify us immediately at support@clinvo.app if you suspect unauthorized access to your account.
3.4 Accurate information
You agree to provide accurate, current, and complete information when setting up your clinic and to keep this information updated. Clinvo is not responsible for any issues arising from inaccurate information provided by users.
4. Subscription Plans and Payment
4.1 Plans
Clinvo offers the following subscription plans:
- Free — 0 JOD/month. Limited to 1 doctor, 5 appointments per day, 100 patients total, and 10 invoices per month. Features are limited as described on our pricing page.
- Starter — 25 JOD/month. Up to 3 doctors, unlimited appointments, patients, and invoices. Full feature set as described on our pricing page.
- Growth — 25 JOD base + 15 JOD per doctor per month. For clinics with 4 or more doctors. Full feature set plus advanced analytics and inventory.
- Enterprise — Custom pricing. For large clinic groups and multi-location practices.
Feature availability per plan is detailed at clinvo.co/pricing and may be updated from time to time with notice.
4.2 Payment
Clinvo does not process payments automatically. Payment is made manually via bank transfer or CliQ (Jordan's instant payment system) upon receiving a payment request from the Clinvo team. Your plan is activated or upgraded upon confirmation of payment receipt.
4.3 Plan changes
To upgrade your plan, submit an upgrade request from within the Clinvo application under Settings → Billing. We will activate your new plan within 24 hours of receiving your request and send a confirmation email.
4.4 Refunds
We do not offer refunds for partial months or unused periods. If you cancel your subscription, your access continues until the end of your current billing period.
4.5 Free plan limitations
The Free plan is provided as-is with no guarantee of continued availability. We reserve the right to modify the features included in the Free plan at any time with reasonable notice. Clinics on the Free plan that wish to continue accessing all features may upgrade to a paid plan at any time.
5. Acceptable Use
5.1 Permitted use
You may use Clinvo only for legitimate dental clinic management purposes in accordance with these Terms and all applicable Jordanian laws and regulations.
5.2 Prohibited use
You must not:
- Use Clinvo for any unlawful purpose or in violation of Jordanian law
- Impersonate any person or entity or misrepresent your affiliation
- Attempt to gain unauthorized access to any part of the platform or another clinic's data
- Interfere with or disrupt the platform or servers
- Upload malicious code, viruses, or harmful content
- Use the platform to store or transmit content that is illegal, defamatory, or harmful
- Attempt to reverse engineer, decompile, or extract the source code of Clinvo
- Resell or sublicense access to Clinvo without written permission
- Use automated tools or bots to access the platform without authorization
- Share your login credentials with anyone outside your authorized clinic team
- Enter false patient information or fabricate clinical records
- Use Clinvo to practice medicine or dentistry without the appropriate qualifications and licenses
5.3 Clinical and professional responsibility
Clinvo is a management tool. It does not provide medical or dental advice. All clinical decisions, diagnoses, treatment plans, and patient care remain the sole responsibility of the licensed healthcare professionals using the platform. Clinvo is not responsible for any clinical outcomes or patient harm arising from information entered into or generated by the platform.
AI Scribe generates clinical note suggestions based on your dictation. These suggestions must be reviewed, edited, and approved by a licensed healthcare professional before being saved as official patient records. AI-generated content is a productivity tool, not a substitute for professional clinical judgment.
6. Patient Data and Clinic Responsibilities
6.1 You are the data controller
Dental clinics using Clinvo are the data controllers for their patients' personal and medical information. Clinvo is the data processor acting on your behalf.
6.2 Your obligations as a clinic
You agree to:
- Obtain appropriate consent from patients before storing their personal and medical information in Clinvo
- Inform patients that their records are managed using Clinvo
- Ensure patients are aware of their rights regarding their personal data
- Comply with Jordan's Personal Data Protection Law (PDPL) and any applicable healthcare regulations
- Only enter accurate and truthful patient information
- Maintain the security of your staff accounts and promptly remove access for former employees
- Not enter patient data from other clinics or systems without appropriate authorization
6.3 Patient consent for photos
Before uploading patient photos (including before/after treatment photos) to Clinvo, you must obtain explicit written consent from the patient. By uploading photos to Clinvo, you confirm that such consent has been obtained. Patient consent is recorded in the system at the time of upload.
6.4 Data accuracy
You are responsible for the accuracy of all data entered into Clinvo including patient records, clinical notes, invoices, and inventory. Clinvo is not responsible for errors arising from incorrect data entry.
7. Intellectual Property
7.1 Clinvo's intellectual property
Clinvo, including its software, design, features, branding, and content, is owned by Clinvo LLC and protected by applicable intellectual property laws. You may not copy, modify, distribute, or create derivative works based on Clinvo without our written permission.
7.2 Your data
You retain ownership of all data you enter into Clinvo, including patient records, clinical notes, and clinic information. By using Clinvo, you grant us a limited license to store, process, and display your data as necessary to provide the service.
7.3 Feedback
If you provide feedback, suggestions, or ideas about Clinvo, you grant us the right to use that feedback without any obligation to compensate you.
8. Public Directory
8.1 Opt-in only
Participation in the Clinvo public directory at clinvo.co/clinics is entirely optional. No clinic information is listed publicly without the clinic owner's explicit consent.
8.2 Accuracy of directory information
By opting into the directory, you confirm that all information provided for public display is accurate, up to date, and relates to your clinic's business (not personal information). You are responsible for keeping your directory profile accurate.
8.3 Removal from directory
You can remove your clinic from the directory at any time from Settings → Directory in the Clinvo application. Removal takes effect within a reasonable time, typically within a few hours.
8.4 Directory content standards
Directory listings must not contain:
- False or misleading information
- Promotional claims that cannot be substantiated
- Content that violates Jordanian advertising standards for healthcare
- Personal information of patients or staff
- Content that infringes any third-party intellectual property rights
Clinvo reserves the right to remove any listing that violates these standards without notice.
9. Availability and Support
9.1 Service availability
We aim to maintain high availability of the Clinvo platform but do not guarantee uninterrupted service. Scheduled maintenance will be announced in advance where possible. Unplanned outages may occur and we will work to resolve them as quickly as possible.
9.2 Support
Support is available by email at support@clinvo.app. We aim to respond to all support requests within 2 business days. Priority support is available to Growth and Enterprise plan subscribers.
9.3 No SLA for Free and Starter plans
Service level agreements (SLAs) with guaranteed uptime and response times are available to Enterprise plan subscribers only. Free and Starter plan subscribers receive best-effort support.
10. Limitation of Liability
To the maximum extent permitted by Jordanian law:
- Clinvo is provided "as is" without warranty of any kind, express or implied
- We do not warrant that the platform will be error-free, uninterrupted, or free of viruses or other harmful components
- We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of Clinvo
- We are not liable for any clinical decisions made using information from Clinvo
- Our total liability to you for any claim arising from these Terms shall not exceed the amount you paid us in the 3 months preceding the claim
- We are not liable for any loss of data resulting from your failure to maintain adequate backups or from factors outside our reasonable control
11. Indemnification
You agree to indemnify and hold harmless Clinvo LLC, its officers, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your use of Clinvo in violation of these Terms
- Your violation of any applicable law or regulation
- Your violation of any patient's rights
- Any clinical decisions or patient care outcomes
- False or misleading information provided to Clinvo or entered into the platform
12. Termination
12.1 Termination by you
You may cancel your Clinvo subscription at any time by contacting support@clinvo.app. Your access will continue until the end of your current billing period. After cancellation, your data is retained for 90 days and can be exported on request.
12.2 Termination by Clinvo
We reserve the right to suspend or terminate your account at any time if:
- You violate these Terms
- You use Clinvo for unlawful purposes
- You fail to pay for a paid plan
- We determine, at our sole discretion, that continued service is not appropriate
We will provide reasonable notice before termination where possible, except in cases of serious violations.
12.3 Effect of termination
Upon termination, your access to Clinvo will be revoked. Your data will be retained for 90 days and then permanently deleted, unless you request earlier deletion or an extension for data export purposes.
13. Changes to These Terms
We may update these Terms from time to time. When we make significant changes, we will:
- Update the "Last updated" date at the top of this page
- Notify clinic owners by email at least 14 days before changes take effect
- Display a notice in the Clinvo application
Your continued use of Clinvo after changes take effect constitutes acceptance of the updated Terms. If you do not agree to the updated Terms, you must stop using Clinvo and cancel your subscription.
14. Governing Law and Disputes
These Terms are governed by the laws of the Hashemite Kingdom of Jordan. Any dispute arising from or relating to these Terms or your use of Clinvo shall be subject to the exclusive jurisdiction of the competent courts of Amman, Jordan.
We encourage you to contact us at support@clinvo.app before initiating any formal dispute, as most issues can be resolved quickly through direct communication.
15. General Provisions
15.1 Entire agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and Clinvo LLC regarding your use of the platform.
15.2 Severability
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
15.3 No waiver
Our failure to enforce any right or provision of these Terms does not constitute a waiver of that right or provision.
15.4 Assignment
You may not assign your rights or obligations under these Terms without our written consent. We may assign our rights and obligations without restriction.
15.5 Language
These Terms are written in English. In the event of any conflict between the English version and any translation, the English version prevails.
